We are looking for an organised and dynamic Events (DSG) Coordinator to join the team at ESM and take the lead in planning, organising, and executing sporting events under the Dubai Schools Games initiative. You’ll play a key role in coordinating various sports events across schools in Dubai, building strong relationships with sponsors and vendors, and supporting the growth and success of each event throughout the year.

Key Objectives

  • Support the delivery of all the Dubai Schools Games events

  • Lead on administrative aspects of the Dubai Schools Games including processing entries, and communicating with venues, schools, committee members, technical partners, vendors and sponsors

  • Onsite set up, event delivery and set down of all events during the season

  • Uplift the event services and offerings and contribute new event ideas

  • Research to identify opportunities and new technical partners for Dubai Schools Games

  • Research to identify opportunities and new technical partners and venues for Dubai Schools Games

  • Request marketing material and update and monitor the Dubai Schools Games website with the assistance of the ESMcreate and ESMsolutions

  • Support the events division with other events and projects as and when the Events Manager directs

Are you experienced in delivering swimming competitions and passionate about creating smooth, professional aquatic events?

ESM in Dubai is looking for an Aquatics Events Lead to take ownership of the technical and operational delivery of swimming events across the UAE.

In this role, you will lead the planning, setup and smooth execution of competitions, ensuring that timing systems work flawlessly, events run to standard and every participant has a positive experience. From managing event equipment and software to supervising the technical team and working with officials and venues, you will play a key part in delivering high-quality events that meet international standard.

Key Objectives

  • Lead the planning, execution, and delivery of all ESM & Hamilton Aquatics events and competitions, ensuring smooth operations and adherence to organisational standards.
  • Handle all high-level inquiries and communications professionally and promptly while representing ESM & Hamilton Aquatics in accordance with company policies and values.
  • Ensure the correct setup, operation, and breakdown of Meet Management software and Automated Officiating Equipment (AOE) systems for every competition, troubleshooting issues as needed.
  • Manage and mentor the Events (HA) Assistants, delegating tasks effectively, providing guidance, and ensuring that all team members contribute to the successful execution of events.
  • Work closely with the Events Manager to ensure all competitions meet safety regulations and best practices while also assisting with administrative duties as required.
  • Identify areas for improvement in event planning and execution, implementing solutions that enhance efficiency, accuracy, and overall event quality.
  • Collaborate with senior management to align event objectives with ESM & Hamilton Aquatics' strategic goals and ensure that all required duties are carried out to support the organisation's success.

You’ll play a key role in ensuring seamless customer service, smooth coordination with internal departments, and high-quality delivery of our seasonal camps.

Key Objectives

  • Handle all camps enquiries via emails, phone, website, and respond in a timely manner
  • Maintain clear communication with Relationship Managers and other relevant stakeholders
  • Resolve customer issues, manage complaints, and gather feedback
  • Manage and direct inbound calls and emails during non-camp periods
  • Respond promptly to messages via Trengo during pre, during, and post camp operations
  • Liaise with Finance for camps-related matters including payroll processing
  • Ensure compliance and documentation for all camp staff including external coaches
  • Manage refund procedures and liaise with internal and external stakeholders
  • Ensure customer details are up to date on relevant IT systems
  • Maintain accurate filing systems for camp venues and allocated staff
  • Oversee procurement tasks including raising POs in line with company procedures
  • Ensure website information is accurate and up to date
  • Coordinate with Marketing for timely communication and execution of camp promotions
  • Ensure adherence to company policies and values
  • Support the wider team with additional duties as assigned
