HOLIDAY CAMP TERMS & CONDITIONS
In addition to the Terms and Conditions (which can be found in User Profile) agreed upon signing up to ESMone, by making a booking with ESM Holiday Camp, the Customer accepts and agrees to be bound and abide by the terms and conditions outlined below:
1. BOOKING
- Bookings need to be made via EMS holiday camp portal along with advance payment to confirm the reservation.
- A booking confirmation email will be sent to the registered email address of the account holder upon the successful completion of payment.
- All the necessary medical conditions of the child needs to be disclosed and added as additional student information.
- The parent/guardians accurate details and contact details need to be updated on the profile, to be contacted in case of emergency.
2. PAYMENT
- To secure your holiday camp reservation, we require payment through the ESMone secure portal. ESM Holiday camp accepts card payment & ESM E-wallet.
- A tax invoice will be readily available in your ESM account upon completion of payment.
- Fees paid comprise of 30% administration and business costs and 70% services fee.
3. CAMP CANCELLATION POLICY
ESM Holiday Camps reserve the rights to cancel a holiday camp due to the following reasons:
- Unforeseen circumstances or situations that are beyond our control, such as natural disasters, severe weather conditions, emergency school maintenance, or any other events that could compromise the safety of our campers and staff.
- Health and safety risks, including outbreaks of contagious diseases.
- Insufficient number of participants. ESM reserves the right to cancel a camp venue either for a specific period or for the entire duration of the holiday due to low enrollment.
- In the event of cancellation of camp, registered parent/guardian of participants will be notified through their registered email address. Alternative options or a full refund will be provided by ESM.
- Any other reasons that may prevent us from providing the quality of service that ESM strives to offer.
4. BOOKING MODIFICATIONS
- Booking modifications are available subject to availability (like-for-like, week for week).
- In the case of moving a few days from a weekly to the next week, daily charges will apply, and weekly offer will be null and void, which may result in an additional charge.
- Modification of the booking should be requested at least 48 hours prior to the camp date.
5. SPECIAL OFFERS POLICY
The following Terms and Conditions (hereinafter referred to as “Terms and Conditions“) define general rules of special offers provided by ESM Holiday Camp.
- ESM Holiday camp offers are applicable to weekly, full camp booking or monthly booking, depending on the duration of camp unless detailed terms and conditions of a given special offer state otherwise.
- Discount Offers shall be provided by ESM Holiday Camp in accordance with the principles set out in these Terms and Conditions transcribe through email and publish through ESM Holiday Camp communication channels. Should a formula of a particular special offer differ from the rules defined in the Terms and conditions, its conditions shall be defined in a separate terms and conditions document.
- An announcement of special offer shall define in a particular condition for participation, timeframe, territorial scope and the group of ESM Holiday camp customers the offer is applicable to.
- ESM Holiday Camp is not obligated to directly notify or inform individuals about ESM offers.
- Each special offer has a timeframe provided in its announcement. ESM Holiday Camp reserves the right to cancel any special offer at any time.
- All special offers will be eligible during the validity period only.
- Should the participant be granted a discount code for their next camp at ESM Holiday Camp, the validity period of such code and the rules of redeeming it shall be defined in the announcement of the special offer.
- Special offers cannot be combined with one another or with any other discounts, and especially with individual discounts, unless detailed terms and conditions of a given special offer state otherwise.
- Special prices do not apply to bus transportation unless the contents of the announcement state otherwise.
- Participation in a special offer of ESM Holiday Camp is a confirmation that the participant has read and accepted the announcement of the special offer and these terms and conditions.
6. REFUND, CREDIT AND CATCH-UP SESSION POLICY
In line with the customer account Terms and Conditions, ESM offer refunds, credit notes and catch-up sessions only in circumstances outlined below:
- In case of cancellation of camp by ESM, the parent will be provided with 100% refund of the amount paid or ESM Credit.
- In case of a medical condition with valid Doctor’s note provided within 48 hours of absence, ESM Holiday Camp will provide 100% ESM credit or 70% refund of the affected sessions.
- As we offer a discounted weekly price, if you wish to cancel a day(s) within a week, we will then recalculate your booking at the daily rate.
- Fees paid comprise of 30% administration and business costs and 70% services fee. In the event of a refund being awarded, only the services fee will be refunded on a pro-rata basis for the affected sessions.
- Credit can be used for future ESM Holiday camp bookings, ESM After-School Activity (exclusive for GEMS students) and ESMplay bookings. Subject to availability and terms and conditions of ESM programs.
- When a refund is approved by the Managing Director, the approved amount will be transferred back to the credit used to make the initial purchase within 14 working days.
- Transportation fee is non-refundable under any circumstances and cannot be credited towards any other ESM services.
7. ACTIVITIES
- ESM Takes full advantage of the facilities provided at each venue and conduct activities. Certain venues may have a different activity offered due to the availability of the facility.
- In case, of an unforeseen circumstance or requirement, ESM camp staff at a may change the scheduled activity without informing the parents.
8. ILLNESESS
- In case a child is observed to be sick at the camp, the parent will be informed by ESM staff and be requested to pick the child up.
- To ensure the health and safety of all camp participants and staff, ESM reserves the right to not accept any child to the camp who has arrived sick.
9. BEHAVIOUR
- ESM Holiday camps follow a no tolerance policy to bullying and fighting. Considering the situation, the staff will warn and guide the child, However, if the behavior continues and disrupts the camp, the staff will notify the parents and the child will be removed from the camp.
- In case of extreme situation which immediately affects the safety of the child, other children or staff, the child will be removed from the activity or the camp. The parents will be notified upon accessing the situation.
- ESM expects and encourages all the children.
- Foster inclusive behavior, avoiding discrimination, bullying, or intimidation.
- Engage in activities with safety in mind, considering both others and them.
- Communicate respectfully, refraining from the use of inappropriate language or swearing.
- Exhibit positive behavior towards peers and coaches, avoiding aggression.
- Steers clear of physical violence, such as fighting, hitting, or biting.
- Treat facilities and equipment with respect, maintaining a positive environment.
- Embrace fair play and uphold the principles of positive sporting competition.
- Actively participate in sessions with enthusiasm and willingness.
10. ADDITIONAL SUPPORT POLICY
- ESM Holiday camps are open for all children to build friendships. Some children may require additional support due to special educational needs (SEND) or other factors, ESM can make reasonable adjustments to provide a stimulating and inclusive environment for most children, depending on their specific needs.
- ESM does not provide 1:1 support staff for children with SEND.
- If your child requires 1:1 care at home or at school, ESM requires the regular care giver or welcome the attendance of an adult support. Support staff needs to have visitor status, register in and out with the camp manager.
- ESM requires full disclosure from the parents of the triggers of the child, for our staff to understand better, support and provide an inclusive experience.
- Support Staff must be agreed with ESM Holiday camps prior to enrollment. Emirates ID, police clearance, or other documents must be provided 1 day prior the start of the camp
- ESM reserves the right to contact parents and guardians at any point to collect their child when believed necessary, to protect the welfare of the child, or other children and staff.
- ESM Holiday Camps reserves the right to decline a booking or prevent a child attending the camp, if the needs of the child can’t be accommodated in the standard camp group.
11. INTIMATE CARE AND TOILETING
- ESM Holiday camps requires the child to be potty trained and to be completely self-reliant.
- ESM Holiday camps require parents to notify them in case the child has any issues related to toileting. These include whether the child is prone to accidents, any upheavals at home, which may affect the child’s ability to toilet themselves independently.
- Should the child be receiving medication for any toileting issues (constipation, diarrhea), ESM Holiday camps require them not to attend camps until the situation is resolved.
- For Children between ages 4 to 6, Parents to provide their child with two spare changes of clothes and plastic bags.
- ESM Reserves the right to require the child to be collected after two wetting occasions per day. This is for the health and hygiene of the child and other children in the class.
- ESM Reserves the right to require the child to be collected after any soiling. This is for the health and hygiene of the child and other children in the class.
- For children between 4 to 6 years, two members of staff will be present when having to assist a child in the bathroom.
- ESM Staff will not spray or wipe children but will encourage correct use of tissue and hoses in the bathroom.
- ESM encourages children to go to the toilet independently during the holiday camp day. here will be set times throughout the day where students will be asked to use the bathroom.
- Staff will assist where necessary if a child should be changed into fresh clothing or use the toilet only if the child requires assistance.
12. PERSONAL PROPERTY
- If your child has left an item on camp, please contact the Camp Manager who will do their best to assist you.
13. ELECTRONIC DEVICES
- ESM Holiday camp has a no screen time policy and will not allow any usage of mobile or other devices during the camp.
- In case a child is observed to be using electronic device, camp staff will ask to put away or will be removed and returned to the parent during pick up.
14. RESERVATION OF RIGHTS
- ESM reserves the right to alter the content, nature, and/or venue of the Holiday Camp at any time.
- ESM reserves the right to alter the details of any published information at any time.
- ESM reserves the right to review and amend our policies from time to time without prior notice.
I understand and agree to the Terms and Conditions of the registered eligible children on my ESM account participating in ESM Holiday Camp.
I, hereby declare that all the participants on my account now and in the future, and all accompanying parents, meet with all the measures defined in this document. In the event that they fail to meet the requirements, I understand that I must not take them to ESM Holiday Camp venues, and they will not be able to participate until they again meet the requirements. I undertake the responsibility of informing ESM Holiday Camps of any changes therein, immediately and via email, for the safety of all ESM Holiday Camps participants and staff.
